JOB DESCRIPTION: COACHING/REPRESENTATIVE CONVENOR/COMMITTEE
Convenor
- Convene and chair committee meetings
- Liaise with Netball Administrator date and time for Committee Meetings
- Liaise with Netball Administrator agenda for distribution to Committee members at least four days prior to meeting
- Prepare reports for Ashburton Guardian feature pages (pre-season and end of season)
- Prepare end of year reports for the Annual Report to be into Netball Administrator at a date to be advised annually
Convenor and Committee Members
- Prepare and implement Development Programmes for coaches and players
- Co-ordinate accreditation courses for coaches
- Arrange with Media Liaison publicity for all coaching programmes and achievements
- Advise the Management Board of Representative Personnel appointments from applications received
- Make recommendations to the Management Board on coach/player selection for any development programmes – locally, regionally, nationally
- Liaise with Regional Coaching Co-ordinator and provide annual coaching calendar
- Liaise with Umpires’ Group, where required, to organise combined activities
- Advise Netball Administrator of any rewards to be given to presenters/helpers
- Prepare an annual plan and budget recommendations for both Coaching and Representative to be into Finance Convenor no later than 1 December in each year
- Approve payments as necessary for passing at Management Board meetings
- Co-ordinate ‘Netties’ and ‘Fun Ferns’
- Measure activities against Strategic Plan requirement no later than 1 October each year
- Prepare representative calendar for the season in liaison with Netball Administrator
- Recommendations/discussions from Coaching/Representative Committee meetings are to be forwarded to the Management Board
Administrator
Keep all records up to date on accreditation of coaches as advised by Coaching Convenor
- Order resources as required by the Convenor
Attend committee meetings and keep minutes – send to all Coaching/Representative members and Management Board
Arrange club publicity for coaching programmes through minutes and newsletters
- Organise representative transport, accommodation and advise Managers, Coaches and Liaison
- Receive all draws and forward to appropriate representative personnel as well as the President, Representative Liaison, Media Liaison
- If home fixtures –
Ø Arrange office, canteen, cleaner (advise early that games are on, preferably at beginning of season
Ø Print and distribute draw to all participating teams, Representative Liaison, President and Media Liaison
Ø Appoint umpires to fixtures

- Advise Netball Administrator of any rewards to be given to presenters/helpers
- Approve payments as necessary for passing at Management Board meetings
- Measure activities against strategic plan requirement no later than 1 October each year
- Check that all trophies are in order for end of season presentations
- Competition convenor to be prepared to support Junior Committee with draws and meetings to prepare grading round draw/s and finalise grades for the season
- Recommendations/discussions from Competition Committee meetings are to be kept confidential until ratified by Management Board
- Competition cancellation convenor to communicate with Cancellation Management Board Member when need to cancel netball
- Competition Committee member to set up for deferred games when on Monday/Tuesday and lock up at the end of the games
Administrator
- Attend Committee meetings and keep minutes – send to all Competition Committee members and Management Board
- Prepare draw for season
- Place draw in local papers weekly and on the Mid Canterbury Netball Web page
- Appoint umpires to local competition
- Results and competition points are to be updated weekly and added to the Mid Canterbury Netball Web page
- Competition points to be posted on noticeboard weekly throughout the season
- Prepare draw booklet for season, publish and distribute to clubs, Management Board and media
- Work with Draw Convenor for semi finals and finals draw
- Make sure all trophies are engraved and ready for end of season presentation
- Organise certificates and awards
- Prepare draws for Secondary Schools’ Tournament and other Tournaments as required under instruction from the Management Board and Competition Committee
- Organise deferred games together with the Competition Committee Convenor
JOB DESCRIPTION: FINANCE CONVENOR/COMMITTEE
Convenor
- Convene and chair committee meetings
- Liaise with Netball Administrator date and time for Committee meetings
- Liaise with Netball Administrator agenda for distribution to Committee members at least four days prior to meeting
- Prepare end of year report for the Annual Report – to be into Netball Administrator at a date to be advised yearly
- Manage the Human Resource Function, communicating with Management Board as required
Convenor and Committee Members
- Supervise payments of accounts and receipts of income
- Set up and ensure all procedures relating to financial matters are adhered to
- Pay weekly wages as per timesheets for employees
- Prepare and file a monthly employment schedule with Inland Revenue Department
- Prepare annual budget taking into account all sub-committee recommendations
- Provide monthly budget/actuals comparisons for all sub-committee convenors and Management Board
- Monitor actual results against budgeted figures monthly after bank statements are entered onto computer
- Make recommendations to the board to ensure funds are invested in the best interests of Mid Canterbury Netball
- Approve payments, as necessary, for passing at Management Board Meetings
- Assist in the preparation of application forms for grants/sponsorships
- Prepare annual financial accounts – 30 September balance date
- Forward accounts and supporting documentation to auditor at a date to be advised annually
- Measure activities against strategic plan requirement no later than 1 October each year
- Recommendations/discussions from Finance Committee meetings are to be kept confidential until ratified by Management Board
Administrator
§ Present all accounts to Management Board for approval for payment
- Pay all accounts after they have been approved by Management Board/Convenors
- Enter bank statements on Cash Manager programme
- Prepare monthly GST returns
- Keep filing of accounts up to date
- Bank money weekly as required

- Annual Junior Tournament – Convenor and Committee to be available to plan and work on the day, in liaison with the Netball Administrator and Management Board
- Co-ordinate opening day, closing day and liaise with Netball Administrator for presentation ceremony
- Co-ordinate certificates/awards with Netball Administrator
- Liaise with the various Committees as required

- Draft a plan to present to major sponsors. This needs to be looked at every year. Meet with major sponsors. Contact to be made with our court sponsors.
- Liaise with Media Co-ordinator re Guardian feature.
- Organise the promotion of opening and closing day for Mid Canterbury Netball
- Look at ways to promoting netball, eg games to the Tactics
- Approve payments as necessary for passing at Management Board meetings
- Organise end of year prize giving for Mid Canterbury Netball.
- Prepare annual plan and budget recommendations for Promotions to be into Finance Convenor on a date to be advised annually
- Keep our sponsors informed. Invite them to opening/closing day. Invite them to any major netball fixtures in Mid Canterbury.
- Advise Administrator of any rewards to be given to presenters/helpers.
- Measure activities against strategic plan requirement no later than 1 October each year
- Recommendations/discussions from Promotions Committee meetings are to be kept confidential until ratified by Management Board

JOB DESCRIPTION: PROPERTY CONVENOR/COMMITTEE
Convenor

- Prepare end of year report for the Annual Report – to be into Netball Administrator on a date to be advised annually

- Liaise with maintenance officer and approve reimbursements
- Communicate with tradespeople for repairs or ensure Administrator does.

- Prepare duty lists and post strategically around pavilion. Ensure copies are sent to clubs at start of every season.
- Liaise with Administrator to prepare duty schedules for Club, Management (Security) and office duties.

- Liaise with pavilion cleaner.
- Prepare an annual plan and budget recommendations for Property to be into Finance Convenor at a date to be advised annually
- Participate in all major projects

Administrator
§ Advise Property Convenor of repairs needing doing
- Organise for repairs to be attended to
- Post duty lists strategically around pavilion as well as sending a copy to all clubs at the commencement the season
- Prepare duty schedules for Club, Management (security), and office personnel
- Organise provision of weekly necessities, eg toilet paper, roller towels, bin liners
- Distribute keys to representative managers and committee personnel as required and keep a record of all keys held
- Attend committee meetings and keep minutes – send to all Property Committee members and Management Board
JOB DESCRIPTION: UMPIRE CONVENOR/COMMITTEE
Convenor
- Convene and chair committee meetings
- Liaise with Netball Administrator date and time for Committee meetings
- Liaise with Netball Administrator agenda for distribution to Committee members at least four days prior to meeting
- Prepare reports for Ashburton Guardian feature pages (pre-season and end of season)
- Prepare end of year report for the Annual Report – to be into Netball Administrator at a date to be advised annually
Convenor and Committee Members
- Prepare and implement development programmes for umpires from Entry Level to Centre Level and to support Regional and New Zealand Level Umpires
- Co-ordinate exams for Centre Level.
- Liaise with Netball Administrator to advise umpires when they are due for assessment
- Arrange with Media Liaison for media coverage of umpire coaching classes and of any exam successes
- Convenor and each Committee Member to be available for Saturday as rostered to deal with any umpire queries
- Prepare an annual plan and budget recommendations for Umpires to be into Finance Convenor at a date to be decided annually
- Advise Administrator of any rewards to be given to presenters/helpers
- Approve payments as necessary, for passing at Management Board Meetings
- Appoint umpires to Representative fixtures
- Measure activities against strategic plan requirement no later than 1 October each year
- Recommendations/discussions from Umpire Committee meetings are to be kept confidential until ratified by Management Board
- To speak at end of season presentations, if required

- Keep records of local level exam results after being advised by umpire convenor
- Appoint umpires to local competition
